The integration between Charlie and Flexopus automatically transfers absence data, eliminating manual entry and redundant administrative work.
What is the Charlie synchronization?
The Charlie integration connects Flexopus to your Charlie HR system via a standardized interface. Absence entries—such as vacation, illness, or other approved leave—are automatically retrieved from Charlie and stored in Flexopus.
This is a read-only synchronization: Flexopus receives data from Charlie but does not make any changes to the HR system. Absence data is mapped based on the user's email address.
The following information is synchronized: employee ID, approval ID, start and end times of the absence, status, notes, and absence type. Upon request, the transfer can be reduced to a simplified view—for example, displaying only "absent" instead of the specific reason (vacation, illness, parental leave).
What is the purpose of the integration?
The connection between Charlie and Flexopus ensures that absence information is visible directly within workspace management. This enables better planning and more efficient use of office resources.
Typical use cases:
- Employees can see their own absence status directly on the Flexopus dashboard.
- Colleagues can see who is in the office, working remotely, or absent on a given day—ideal for coordinating in-office days.
- Absence data from Charlie is automatically accounted for without anyone needing to manually update it in Flexopus.
- Bookings can be automatically canceled in the future if an absence is recorded, keeping resources available for other employees.
How easy is the integration?
Setting up the Charlie integration takes just a few steps. As an administrator, navigate to the integration settings in Flexopus, select Charlie as your HR system, and grant the necessary API permissions in Charlie. Flexopus will then begin synchronization automatically.
The HRIS integration module is available as an optional add-on and can be activated upon request. The connection is established via a unified API provider that standardizes the link to Charlie and other HR systems.

Questions and answers
Are absences transferred in real time?
Synchronization occurs regularly and automatically. As soon as an absence is approved in Charlie, it is promptly transferred to Flexopus. Manual updates are not necessary.
What data is transferred from Charlie? Do colleagues see the exact reason for the absence?
By default, the absence type, period, status, and other relevant fields are synchronized. Upon request, the transfer can be configured so that colleagues only see that someone is absent—without the specific reason (e.g., illness or vacation). This gives you full control over data transparency.
What happens if an absence is subsequently changed or deleted in Charlie?
Changes and deletions in Charlie are automatically applied in Flexopus during the next synchronization. The status in Flexopus always reflects the current state from Charlie.
Can Flexopus automatically cancel existing bookings if someone is absent?
This feature is currently in development and will be available in the future. Once activated, Flexopus will be able to automatically release reservations if an absence exists for the corresponding period.
