
Charlie with Flexopus: Seamlessly synchronizing absences
The integration between Charlie and Flexopus allows absence data to be transferred automatically – without manual intervention and without duplicate maintenance effort.
What is the Charlie dubbing?
The Charlie integration connects Flexopus to your Charlie HR system via a standardized interface. Absence entries – such as vacation, illness or other approved absences – are automatically read from Charlie and stored in Flexopus.
This is a read-only synchronization: Flexopus receives the data from Charlie but does not make any changes to the HR system. The absence data is assigned based on the email address of the respective user.
The following information is synchronized: employee ID, approval ID, start and end time of absence, status, note, and absence type. If desired, the information can be reduced to a simplified display – for example, instead of the specific type of absence (vacation, illness, parental leave), only "absent" is displayed.
What is the purpose of integration?
The connection between Charlie and Flexopus ensures that absence information is directly visible in workplace management. This allows for better planning and more efficient use of office resources.

- Employees can see their own absence status directly on the Flexopus homepage.
- Colleagues can see who is in the office, working remotely, or absent on a given day – ideal for coordinating in-office days.
- Absence data from Charlie is automatically taken into account, without anyone having to manually enter data into Flexopus.
- Bookings can now be automatically cancelled if an absence is recorded, so that resources remain available for other employees.
How easy is the integration?
Setting up Charlie's integration program can be done in just a few steps. As an administrator, navigate to the integration settings in Flexopus, select Charlie as the HR system, and grant the necessary API permissions in Charlie. Flexopus then automatically begins synchronizing.
The HRIS integration module is available as an optional add-on module and can be activated upon request. The connection is established via a unified API provider, which provides a standardized connection to Charlie and other HR systems.

Are absences transmitted in real time?
Synchronization occurs regularly and automatically. Once an absence has been approved in Charlie, it will be transferred to Flexopus promptly. A manual update is not necessary.
What data is transferred from Charlie? Do colleagues see the exact reason for the absence?
By default, absence type, period, status and other relevant fields are synchronized. If desired, the transmission can be configured so that colleagues only see that someone is absent – without the specific reason (e.g. Illness or vacation). This way you retain full control over data transparency.
What happens if an absence in Charlie is subsequently changed or deleted?
Changes and deletions in Charlie will be automatically transferred to Flexopus during the next synchronization. The status in Flexopus always reflects the current status from Charlie.
Can Flexopus automatically cancel existing bookings if someone is absent?
This feature is under development and will be available in the future. Once activated, Flexopus can automatically release reservations if there is an absence for the relevant period.
