Our contact person Ina Bundschuh answered all our questions about efficient workplace management in an interview.
What was the trigger for dealing with workplace management?
Ina Bundschuh: With the rapid growth of our team, we reached limits with our previous work organization. Workstations and meeting rooms were previously booked exclusively via the internal calendar, which became increasingly confusing. The aim of introducing a workplace management system was to create transparency, distribute resources more efficiently, significantly increase space efficiency and optimally support working in a hybrid model.
Why did you choose Flexopus?
Ina Bundschuh: We were looking for a solution that was intuitive to use and easy to integrate into our existing processes. Flexopus impressed us with its clear user interface, simple booking logic and the ability to flexibly display different types of workstations. It was particularly important to us that employees can see at any time who is in the office and when and which workstations are available.
How does using Flexopus actually contribute to your sustainability strategy?
Ina Bundschuh: Flexopus enables us to use our office space much more efficiently. Part-time or mobile colleagues' workplaces can be used multiple times, which reduces the overall space requirement. In addition, it is not necessary to provide all employees with their own workstations including technical equipment such as monitors, keyboards or docking stations. This saves resources and supports our commitment to sustainability.
What measurable results have you achieved since the introduction of Flexopus?
Ina Bundschuh: We will only have concrete measurable figures available in the coming year. However, it can already be seen that the utilization of workplaces has been significantly optimized. In the beginning, setting up mobile workplaces led to a higher CO2 footprint in the short term, as new devices, screens and other equipment had to be purchased. However, we expect measurable improvements in terms of space, energy consumption and equipment.
What do you like best about Flexopus and what is missing?
Ina Bundschuh: We particularly appreciate the ease of use and the clear overview of the occupancy of our office space. Flexopus makes it possible to organize hybrid work efficiently. In the future, an even closer link with our communication tools would be desirable in order to integrate bookings even more seamlessly into everyday work.
What tips would you give to other companies that pursue similar (sustainability) goals?
Ina Bundschuh: We recommend that clear objectives for the use of space and resources be defined at an early stage and that employees be actively involved in the process. Transparent communication about the benefits of a system such as Flexopus promotes acceptance. It is also worthwhile to systematically measure sustainability effects in order to make long-term improvements visible.
