What is Absence.io synchronization?

The Absence.io integration is a one-way data interface between Absence.io and Flexopus. Approved absence entries from Absence.io are automatically transferred to Flexopus.

Flexopus reads the absence data via a unified API service and stores it for each user based on their email address. The following data will be synchronized:

  • Employee ID and approval status
  • Start and end date of absence
  • Type of absence (e.g. Vacation, illness, parental leave)
  • Notes and additional status information

Synchronization is read-only – absence data cannot be changed via Flexopus.

What is the purpose of integration?

The connection between Absence.io and Flexopus closes the gap between HR data and daily resource planning in the office. Typical use cases include:

Absence status directly visible: As soon as an absence has been approved in Absence.io, the employee's status automatically appears in Flexopus – on the start screen and in the attendance overview.

Better planning for everyone: Teams can see at a glance who is in the office, who is working remotely, and who is absent. This facilitates coordination and prevents unnecessary follow-up questions.

Make optimal use of resources: If it is known who is missing, jobs and rooms can be allocated more effectively. In the future, Flexopus will also be able to automatically cancel existing bookings in case of absence in order to free up capacity.

How easy is the integration?

Setting up the Absence.io integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select Absence.io and grant the necessary permissions in your HR system. Synchronization then starts automatically.

What data is transferred from Absence.io?

Flexopus synchronizes approved absence entries, including employee ID, absence period, status, and absence type. Synchronization is read-only – data can only be changed in Absence.io, not in Flexopus.

What happens to data privacy? Does everyone notice the nature of the absence?

Flexopus makes it possible to limit the transmission of the absence type. Instead of "illness" or "vacation", Flexopus can only display "absent". This way you retain control over what information is visible to colleagues.

What happens when an absence is changed or deleted in Absence.io?

Flexopus synchronizes the data regularly. Changes or deletions in Absence.io will be automatically transferred to Flexopus during the next synchronization.

Does the HRIS module need to be purchased separately?

The HRIS integration module is not included in the standard package, but is generally available to all customers upon request. Just get in touch with us – we'll help you with the setup.
