What is Microsoft Entra ID synchronization?
The Microsoft Entra ID Avatar Sync Integration connects Flexopus to Microsoft Entra ID (formerly Azure Active Directory) via the Microsoft Graph API. This allows Flexopus to retrieve user profile pictures (avatars) from Entra ID and display them in Flexopus. The profile picture is synchronized for each user; further data is only processed to the extent necessary for assigning the picture to a user.
What is the purpose of integration?
Many companies manage profile pictures centrally in Microsoft 365 or Microsoft Entra ID. With avatar synchronization, these images automatically appear in Flexopus. This allows teams to more quickly identify who has booked a workspace, room, or asset.

How easy is the integration?
The connection is set up once in Flexopus. For this purpose, a Microsoft Entra ID app is registered and equipped with the necessary permissions for image retrieval via Microsoft Graph. Next, enter your login details in Flexopus and activate synchronization.

What data is synchronized?
Flexopus retrieves the profile picture (avatar) for each user from Microsoft Entra ID via Microsoft Graph and assigns it to the corresponding user in Flexopus. Further information will only be used to the extent necessary for technical classification.
What permissions are required?
Graph permission is required to retrieve profile pictures. Which specific permission is appropriate for your tenant depends on whether the app should operate only on behalf of an administrator (Application Permissions) or on behalf of a logged-in user (Delegated Permissions). We recommend keeping permissions as limited as possible and are happy to assist you with your selection.
What happens when a profile picture is changed or deleted in Entra ID?
If the profile picture in Entra ID changes, it will be updated in Flexopus during the next synchronization. If an image is removed, Flexopus can display a default image instead. The exact behavior depends on your configuration and the options set in Flexopus.
Are profile pictures stored in Flexopus?
In order for Flexopus to display the avatars, the images must be processed in Flexopus. How long images are cached or stored depends on the settings and the setup used. If you have any questions about storage and data protection, our support team will be happy to help.
