Officient and Flexopus: Automatically synchronize absences
Connect Officient with Flexopus to ensure that absence data from your HR system is automatically available in your workplace management solution – without manual maintenance or duplicate effort.
What is Officient synchronization?
The Officient integration connects your HR system to Flexopus via a standardized interface. Absence data from Officient – such as vacation, illness, or other absence types – is automatically transmitted to Flexopus and made visible to all users.
Synchronization runs regularly in the background. Flexopus reads absence entries from Officient and stores them internally. Only necessary information is transferred, such as the time period, status, and – if desired – the absence type. This is a read-only synchronization: data is displayed in Flexopus but not written back to Officient.
What is the purpose of the integration?
In a hybrid work environment, it is important to know who is in the office and when. The Officient integration makes this possible without any additional effort for employees or HR teams.
Typical use cases:
- Make absence status visible: If a colleague is on vacation or sick, this is displayed directly on the Flexopus home screen. Everyone can see at a glance who is available.
- Create transparency: Flexopus shows who is in the office, who is working remotely, and who is absent. This simplifies planning for office days and team collaboration.
- Use resources more efficiently: When it is known that employees are absent, workstations can be assigned more effectively and bookings better managed.
The integration reduces manual coordination and ensures that everyone involved is always up to date.
How easy is the integration?
The Officient integration is set up directly via the Flexopus admin panel. As an administrator, navigate to the integration settings, select Officient as your HRIS system, and grant the required permissions in Officient. The synchronization will then start automatically.
The HRIS integration module is available to all customers upon request and must be activated separately.

Questions and answers
Are all absence types from Officient synchronized?
By default, absences are transferred with type, time period, and status. You can specify in the settings whether the exact absence type (e.g., vacation, illness, parental leave) is displayed or whether Flexopus simply shows "absent." This gives you full control over what information is visible to the team.
What happens if an absence is changed or deleted in Officient?
Flexopus synchronizes data from Officient regularly. Changes or deletions in Officient are automatically applied in Flexopus during the next synchronization run. Manual adjustments in Flexopus are not required.
Can Flexopus automatically cancel bookings if someone is absent?
The feature to automatically delete bookings during an absence is currently in development and will be available in a future version. Currently, absence data is displayed in Flexopus, but existing bookings remain in place.
What specific data is transferred from Officient?
Flexopus exclusively transfers absence-related information: employee ID, time period (start and end), absence status, absence type (optionally configurable), and an optional note. Personal or contractual data from Officient is not synchronized.
Is the integration GDPR-compliant?
Yes. The connection between Officient and Flexopus is handled via a certified API provider. Only the data necessary for operation is transferred. Additionally, you can configure which absence information is visible in Flexopus to maintain team data privacy.
