With Flexopus integration, absence data from Oracle HCM is automatically transferred to Flexopus – ensuring that bookings and availability are always up to date.
What is Oracle HCM synchronization?
Oracle HCM integration connects Flexopus to your HR system via a standardized interface. Absence entries – for example, vacation, illness or other absences – are automatically read from Oracle HCM and stored in Flexopus.
The synchronization is read-only: Flexopus receives the data from Oracle HCM, but does not make any changes to the HR data. Data transmitted includes employee ID, absence type, period (start and end date) and approval status. If desired, it can also be configured so that only the status "Away" is displayed instead of the exact reason for absence.
What is the purpose of integration?
Anyone who wants to book a seat or room in the office benefits from knowing which colleagues are actually on site. This is precisely where Oracle HCM integration comes in:
- Make absence status visible: Approved absences are automatically transferred to Flexopus and are directly visible on the start screen.
- Availability overview: Employees can see at a glance who is present in the office, who is working remotely and who is absent.

How easy is the integration?
The Oracle HCM integration is set up directly in the Flexopus admin area. As administrator, you select Oracle HCM as the HRIS system and grant the necessary API permissions. Flexopus then automatically starts synchronizing the absence data – based on the stored email addresses of the employees.
The HRIS integration module is available as an optional add-on module and is available to all customers upon request.

Will sensitive health data be transferred to Flexopus?
No, not necessarily. You can configure Flexopus to display the exact reason for absence (e.g., (Illness or parental leave) only saves the general status "Absent". This way you retain control over which information is visible in the system.
What happens when an absence is changed or deleted in Oracle HCM?
Flexopus synchronizes absence data regularly. Changes or deletions in Oracle HCM are automatically transferred to Flexopus during the next synchronization. This ensures that the status of employees is always up-to-date.
Can Flexopus automatically cancel bookings if someone is absent?
This feature is currently under development. In the future, Flexopus should be able to automatically delete existing reservations when an absence is recorded, so that the corresponding resources can be released for other employees.
What permissions are required in Oracle HCM?
For integration, API permissions must be granted in Oracle HCM so that Flexopus can read the absence data. The setup is performed by an administrator in Oracle HCM. Flexopus does not write any data back to the HR system.
Is the HRIS module included in the standard Flexopus subscription?
