What is Simployer synchronization?

Simployer integration is a one-way data interface between your HR system and Flexopus. Simployer automatically transmits employee absence data – for example, vacation, illness or other absences – to Flexopus.

The connection is established via a unified API service, which ensures secure and reliable communication between the two systems. Flexopus reads the absence data from Simployer and stores it locally for use in the platform. A transfer back from Flexopus to Simployer does not take place.

The following information is synchronized: employee ID, start and end date of absence, status, absence type, and an optional note. Optionally, it can be configured so that only the general status "Absent" is transmitted instead of the specific absence type.

What is the purpose of integration?

In many companies, absences are recorded in the HR system, but not taken into account in workplace planning. This leads to bookings for days when employees are not even in the office – and to a lack of transparency for the entire team.

With the Simployer integration, absence data is automatically transferred to Flexopus. This enables the following use cases:

  • Make absence status visible: Employees can see directly on the Flexopus start screen whether they are listed as absent.
  • Keep track of team availability: In Flexopus, all users can see who is in the office, working remotely, or absent – ideal for planning shared office days.
  • Better use of resources: When it is clear who is missing, jobs can be allocated more effectively and are actually available to the team.

How easy is the integration?

Setting up the Simployer integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select Simployer as the HRIS system, and grant the required API permissions in Simployer. Automatic synchronization then starts.

Note: The HRIS integration module is a paid add-on module and is available to all customers upon request.

What are the advantages of integration?

  • Automatic synchronization: Absence data from Simployer is regularly and automatically updated in Flexopus – without manual effort.
  • Greater transparency within the team: All users can see at a glance who is available – this significantly simplifies the planning of shared office days.
  • Fewer booking errors: Absences are visible in the room planning, which reduces unnecessary bookings for absent persons.
  • Configurable in compliance with data protection regulations: The absence type (e.g. Illness or vacation) does not need to be transferred – the general status “Absent” is sufficient.
  • No duplicate data maintenance: Absences are only maintained in Simployer and are automatically incorporated into Flexopus.
  • Easy setup: The integration is quick to set up and requires no programming knowledge.

Frequently Asked Questions

questions and answers

Are sensitive reasons for absence, such as illness, transmitted to Flexopus?

No – not necessarily. Flexopus can be configured to synchronize only the general "Away" status, without specifying the type of absence. This way you retain full control over which information is visible in Flexopus.

What happens when an absence is changed or deleted in Simployer?

Synchronization occurs regularly and automatically transfers changes from Simployer to Flexopus. If an absence is adjusted or removed in Simployer, this is updated accordingly in Flexopus.

Can employees manage their absences via Flexopus?

No. The integration is a read-only interface: Flexopus receives absence data from Simployer, but does not make any changes to it. Absences are managed exclusively in Simployer.

What permissions are required for the setup?

To set this up, you need administrator rights in both systems: in Flexopus to activate the integration, and in Simployer to grant the necessary API permissions. The actual synchronization then runs fully automatically.

For which customers is HRIS integration available?

The HRIS integration module is generally available to all Flexopus customers upon request and is purchased separately. Please feel free to contact us if you are interested.
