What is HiBob synchronization?
HiBob is a modern HR platform that helps growing and international companies manage employee data, absences, and organizational structures.
The integration connects HiBob to Flexopus via a standardized interface. Absence entries—such as vacation, illness, or other leave—are automatically retrieved from HiBob and transferred to Flexopus. Synchronization occurs regularly in the background, ensuring your employees' absence status in Flexopus is always up to date.
The following data is transferred: employee ID, approval ID, start and end dates of the absence, status, absence type, and optional notes. This is a read-only synchronization; absence data can only be modified within HiBob.
What is the purpose of the integration?
The HiBob integration makes absence information directly available in Flexopus for employees, team leads, and HR alike. Typical use cases include:
- Making absence status visible: Employees can see directly on the Flexopus home screen if they are marked as absent. The status is automatically pulled from HiBob.
- Checking colleague availability: Teams can see at a glance in Flexopus who is in the office, who is working remotely, and who is away. This significantly simplifies planning for shared office days.
- Releasing booking spaces (coming soon): In the future, Flexopus will be able to automatically cancel reservations for absent employees to free up workspaces for others.
Automatic transfer eliminates the need for double data entry in two systems. Absences only need to be recorded once in HiBob and are immediately available in Flexopus.
How easy is the integration?
Setting up the HiBob integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select HiBob as your HRIS system, and grant the necessary access rights in HiBob. Flexopus will then automatically begin synchronizing absence data.

Which absence data is transferred from HiBob?
Flexopus synchronizes absence entries, including employee ID, start and end dates, status, and absence type. You can specify in the settings whether the specific reason for absence (e.g., vacation or illness) is transferred or if Flexopus should only store the general status "absent." This gives you full control over the scope of the shared data.
Can I edit or delete absences via Flexopus?
No. The HiBob integration is a read-only connection. Absence data can only be created, modified, or deleted in HiBob. Changes in HiBob are then automatically applied in Flexopus. Flexopus does not have write access to HiBob.
What happens if an absence is deleted or changed in HiBob?
Flexopus synchronizes data from HiBob on a regular basis. If an absence entry is deleted or changed in HiBob, this change will be updated in Flexopus during the next synchronization run. The absence status of the affected person will be adjusted accordingly.
Is the integration compliant with data protection regulations?
Yes. Flexopus only transfers the data required for absence synchronization. Additionally, you can configure it to transfer only an anonymized status ("absent") without specifying the reason. The integration is handled via an external, specialized API provider that meets high security standards.
What are the requirements for the setup?
You need administrator rights in both Flexopus and HiBob. The HRIS integration module must be enabled in Flexopus – it is available to all customers upon request. You then grant Flexopus the necessary API access rights in HiBob, and the synchronization starts automatically.
