What is HiBob synchronization?
HiBob is a modern HR platform that particularly supports growing and internationally positioned companies in managing employee data, absences and organizational structures.
The integration connects HiBob to Flexopus via a standardized interface. Absence entries – such as vacation, illness or other absences – are automatically read from HiBob and transferred to Flexopus. Synchronization takes place regularly in the background, ensuring that your employees' absence status in Flexopus is always up-to-date.
The following data is transferred: employee ID, approval ID, start and end date of absence, status, absence type, and optional notes. This is a read-only synchronization – absence data can only be changed in HiBob.
What is the purpose of integration?
The HiBob integration makes absence information directly usable in Flexopus – for employees, team leaders and HR alike. Typical use cases include:
- Make absence status visible: Employees can see directly on the Flexopus start screen whether they are listed as absent. The status is automatically taken from HiBob.
- Check the availability of colleagues: Teams can see at a glance in Flexopus who is in the office, who is working remotely and who is absent. This significantly simplifies the planning of joint in-person days.
- Release booking spaces (coming soon): In the future, Flexopus will be able to automatically cancel reservations of absent employees in order to free up workspaces for other colleagues.
Automatic data transfer eliminates the need for duplicate data maintenance in two systems. Absences only need to be entered once in HiBob and are immediately available in Flexopus.
How easy is the integration?
Setting up the HiBob integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select HiBob as the HRIS system, and grant the necessary access rights in HiBob. Flexopus then automatically starts synchronizing the absence data.

What absence data is transferred from HiBob?
Flexopus synchronizes absence entries including employee ID, start and end date, status and absence type. In the settings, you can specify whether the particular reason for absence (e.g., Whether vacation or illness) is transferred or whether Flexopus simply stores the general status "absent". This way you retain full control over the amount of data shared.
Can I edit or delete absences via Flexopus?
No. The HiBob integration is a read-only connection. Absence data can only be created, changed, or deleted in HiBob. Changes in HiBob are then automatically transferred to Flexopus. Flexopus does not access HiBob by writing to it.
What happens when an absence is deleted or changed in HiBob?
Flexopus regularly synchronizes the data from HiBob. If an absence entry is deleted or changed in HiBob, this change will also be updated in Flexopus during the next synchronization run. The absence status of the person concerned will be adjusted accordingly.
Is the integration compliant with data protection regulations?
Yes. Flexopus transmits only the data required for absence synchronization. Additionally, you can configure the system to transmit only an anonymized status ("absent") without specifying the reason. The integration is handled via an external, specialized API provider that meets high security standards.
What are the requirements for setting up the facility?
You need administrator rights in both Flexopus and HiBob. The HRIS integration module must be activated in Flexopus – it is available to all customers upon request. Next, grant Flexopus the necessary API access rights in HiBob, and the synchronization will start automatically.
