Personio with Flexopus: Automatically synchronize absences
Anyone who wants to organize hybrid teams efficiently needs up-to-date information about who is available and who is not. With the Personio integration from Flexopus, absence data from your HR system flows automatically into your workplace management – without manual maintenance, without duplicate data entry.
What is Personio synchronization?
The Personio integration is a one-way data synchronization: Flexopus regularly reads the approved absence entries from Personio and transfers them to the Flexopus system. The connection is established via a standardized API interface.
The following absence data will be synchronized:
- Employee ID and Approval ID
- Start and end date of absence
- Absence status (e.g. approved)
- Absence type (e.g. Vacation, illness, parental leave)
- Optional note regarding absence
This is a read-only connection: absence data cannot be changed via Flexopus. Changes are made exclusively in Personio.
What is the purpose of integration?
The integration connects HR data with daily workplace organization. Once an absence is approved in Personio, it is also visible in Flexopus – automatically and without any additional effort.
This enables the following specific use cases:
- Absence status at a glance: Employees can see directly on the homepage whether they are listed as absent.
- Availability of colleagues: Teams can see in Flexopus who is in the office, working remotely, or absent. This significantly simplifies the planning of in-person attendance days.
- Automatic booking cancellation (coming soon): In the future, Flexopus will be able to automatically cancel reservations of absent persons so that workspaces and rooms are available for others.
How easy is the integration?
Setting up the Personio integration is straightforward. As an administrator, navigate to the integration settings in Flexopus, select Personio as the HRIS system, and grant the required API permissions in Personio. After that, the synchronization runs fully automatically.

Will sensitive reasons for absence, such as illness, become publicly visible?
No, not necessarily. Flexopus can be configured so that instead of the specific absence type (e.g., In cases of illness or parental leave, only the general status "absent" is displayed. This way you retain control over what information is visible to colleagues.
What happens when an absence is changed or deleted in Personio?
Flexopus regularly synchronizes absence data from Personio. When an entry in Personio is changed or deleted, this change is automatically transferred to Flexopus during the next synchronization run.
Can I enter or change absences in Personio via Flexopus?
No. The integration is a read-only connection. Absences are transferred exclusively from Personio to Flexopus. Adjustments to absence dates must still be made directly in Personio.
What permissions are required for the setup?
Setting it up requires administrator rights in both systems: in Flexopus to activate the integration, and in Personio to grant the necessary API permissions. Synchronization then takes place via the employee's email address as a unique identifier.
Is Personio integration included in the Flexopus price?
