What is SAP SuccessFactors synchronization?
SAP SuccessFactors is a cloud-based Human Capital Management (HCM) platform from SAP. It is used worldwide to standardize, automate and analyze HR processes.
The integration between SAP SuccessFactors and Flexopus establishes a read connection to your HR system. Flexopus regularly retrieves the absence data of employees and stores it internally. Information such as absence period, status, absence type (e.g., Vacation, illness, parental leave) as well as an optional note.
Synchronization runs automatically in the background. Absence data can be viewed via Flexopus, but not changed – changes are still made exclusively in SAP SuccessFactors.
What is the purpose of integration?
The integration ensures that absence information from SAP SuccessFactors is directly visible in Flexopus. This allows for better planning and more transparent collaboration in the office.
Typical use cases for integration:
- View absence status directly: Approved absences are automatically transferred to Flexopus. Employees can see their status directly on the homepage.
- Availability of colleagues: In Flexopus, it is immediately apparent who is in the office, who is working remotely, and who is absent. This simplifies the voting process considerably.
- Automatic booking cleanup (coming soon): In the future, Flexopus will be able to automatically cancel existing reservations when absences are recorded, so that resources can be released for others.

Setting up the SAP SuccessFactors integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select SAP SuccessFactors and grant the necessary API permissions in your HR system.

What data is transferred from SAP SuccessFactors?
Flexopus synchronizes absence entries with the following information: employee ID, approval status, start and end date of absence, absence type, and an optional note. If desired, the transmission can be configured so that only the "absent" status is saved – without specifying the reason.
What happens when an absence is changed or deleted in SAP SuccessFactors?
Flexopus regularly synchronizes the data with SAP SuccessFactors. Changes or deletions are automatically applied. Cancelled or rejected absences are updated accordingly in Flexopus.
Is the integration compliant with data protection regulations?
Yes. The integration is designed as a read-only interface – Flexopus does not write any data back to SAP SuccessFactors. Only the data necessary for displaying absences in Flexopus will be transferred. Additionally, it is possible to limit the level of detail of the transmitted information in order to protect sensitive HR data.
Can I control which absence types are synchronized?
Flexopus offers the possibility to configure the scope of synchronized information. For example, you can specify that instead of the specific absence type (vacation, illness, parental leave), only the general status "absent" is displayed.
Is the HRIS module included in my Flexopus package?
