What is UKG Pro-Synchronisation?
UKG Pro is a cloud-based human capital management platform that helps companies manage employee master data, absences, payroll and workforce analytics. The platform is primarily aimed at medium-sized and large organizations.
The integration between UKG Pro and Flexopus is a read-only synchronization: Absence data from UKG Pro – such as vacation, illness or other absences – is automatically transmitted to Flexopus and stored there for the respective users. The connection is established via a standardized API interface, which ensures reliable and secure data transfer.
The following data is synchronized: employee ID, absence status, start and end time, absence type, and optional notes. If desired, the transmission can be limited to a simplified representation – for example, instead of the specific absence type, only "absent" is transmitted.

The UKG Pro integration ensures that absence information from the HR system is automatically available in Flexopus – without manual transfer or duplicate data maintenance.

Are absence data from Flexopus transferred back to UKG Pro?
No. This is a purely read-only synchronization. Absence data flows exclusively from UKG Pro to Flexopus. Changes must still be made directly in UKG Pro.
What specific data is being transmitted? Are sensitive information such as medical diagnoses shared?
Only organizationally relevant absence data is transmitted: employee ID, period of absence, status and absence type. Sensitive medical information such as diagnoses is not synchronized. Additionally, the transmission can be configured so that only "absent" is transmitted instead of the absence type.
What happens when an absence is changed or deleted in UKG Pro?
Flexopus regularly synchronizes absence data with UKG Pro. Changes or deletions in UKG Pro will be updated accordingly in Flexopus during the next synchronization run.
Is the HRIS integration module included in the standard subscription?

What permissions are required for the integration?
You need administrator rights in both systems for the setup – in Flexopus as well as in UKG Pro. In UKG Pro, the necessary API permissions must be granted so that Flexopus can read the absence data.
