Workday with Flexopus: Seamlessly synchronize absence data

What is Workday synchronization?

The Workday integration connects Flexopus to your Workday system via a standardized interface. Employee absence data – i.e., vacation, illness or other absences – is automatically read from Workday and imported into Flexopus.

This is a read-only synchronization: Flexopus receives the data from Workday and makes it available in the system. Changes to absence data are made exclusively in Workday – Flexopus automatically incorporates these changes during the next synchronization.

Workday is a cloud-based Human Capital Management (HCM) platform that combines key HR processes such as personnel administration, absence management, payroll and talent management into a unified system.

What is the purpose of integration?

The Workday integration ensures that absence information no longer needs to be manually maintained in Flexopus. Once an absence entry is approved in Workday, it is automatically synchronized with Flexopus.

This enables concrete added value in everyday work:

• Make absence status visible: Employees can see directly on the Flexopus homepage whether they or their colleagues are absent.
• Identifying team availability: Flexopus shows who is in the office, who is working remotely and who is absent – this makes it easier to plan collaboration.
• Automatically release bookings during absences (coming soon): Flexopus can automatically cancel existing reservations of absent individuals, so that resources remain available for other colleagues.

How easy is the integration?

Setting up the Workday integration is straightforward and requires no technical expertise. As an administrator, navigate to the integration settings in Flexopus, select Workday and grant the necessary API permissions in your Workday system.

Once the connection is established, Flexopus automatically synchronizes the absence data – based on the users' email addresses. A one-time setup is all it takes; after that, the synchronization runs in the background.
